Three verdicts, not two. Because "I don't know" is not "no".
The guard scans the pass with the phone camera. Green: they come in. Red: the system said no, and says why. Amber: the system could not verify, and the guard decides with the code in view.
- The written code can be typed when the reader does not catch it or the visitor's clock is off. Four letters, four letters, four letters: it can be read over the radio.
- The reason for a denial is in words: "pass revoked by the resident", "expired yesterday", "already used". Never just a color.
- A delivery QR dies on first use. The exit is still recorded.
Someone arrived that nobody announced. The resident decides from their phone.
The guard types the name, picks the unit and taps "Notify resident". The resident receives the request with two buttons. If they do not answer in time, the gatehouse decides and it is recorded that it did.
- Photo of the ID, always optional. A visitor can refuse and still come in. The photo is never a requirement.
- Call the resident from the app, with a fallback to the directory phone number if there is no internet.
- Who authorized stays on record: the resident from their phone, or the guard with their name.
Registering notifies. Handing over leaves a name.
When a package is registered, the resident is notified instantly. When it is handed over, the guard writes who picked it up. A lost package stops being a dispute with the gatehouse.
- Carrier, description and an optional photo of the package.
- Only staff hands over, and always with a name. The resident cannot mark their own package as delivered.
The gatehouse as a workplace, not just "the one who scans".
Rounds with laminated QR checkpoints, shift handover with a checklist and photo, and incidents reported in under 30 seconds with category, severity and up to five photos.
- A round can be ended incomplete, and it is written down which checkpoint was missed and why.

- An incident closed without a resolution does not exist: the system does not allow it.
Guards rotate and not all are digital. The app is designed with that as a rule, not an excuse.

The gatehouse phone loses internet
The scanner does not invent a result: it shows "Not verified" in amber with the written code, and the guard decides as they would today with the logbook. Whatever they record is uploaded when the signal returns.
The visitor has no data
The pass they opened on WhatsApp keeps working offline: it is stored on their phone and the QR keeps rotating.
The resident does not answer the request
It goes to the gatehouse with a notice. It is never left hanging.

Coming soon. A device in the gatehouse that validates passes with the network down and syncs when it returns. Contracted separately, and starting without it means nothing has to be redone.
